Projects budgets aren’t blown because of bad estimates. They go over because no one catches the early warning signs, and because the right systems aren’t in place. And let’s face it, few things are more frustrating than watching a project that was well-scoped, well-staffed, and carefully approved suddenly run over budget.
In this blog we’ll look at some common reasons corporate projects go over budget – and talk about preventative solutions you can put in place.
Cause #1: Unclear Scope and Priorities
When leaders greenlight a budget before scope and priorities are fully defined, what often happens is:
- new requirements get discovered midstream
- sponsors make additions on the fly
- vendors get pulled in late with unclear expectations
Before you start building project estimates, get clear on project scope and priorities, and decide what’s fixed and what’s flexible with project scope, time, and budget. That clarity prevents misunderstandings, minimizes scope creep, and gives project teams a solid foundation for making smart trade-offs later.
Cause #2: Lack of Budget Monitoring Experience
Senior executives often set up project budgets without clarifying how they expect them to be monitored. When the project begins, teams gets focused on deliverables and deadlines, rather than actively monitoring the budget. That’s where things often start to break down.
The thing is, project team members without budget monitoring experience don’t know how often they need to check numbers, or even what to look for. But budget oversight is core part of running a project; to keep project budgets in line, it’s crucial to teach project teams how to monitor budget performance so they know when to:
- pause discretionary work
- reallocate funding across workstreams
- escalate issues to request budget adjustments early
Organizations need employees who aren’t just moving projects forward – they need to set them up for success by showing them how to watch the bottom line all the way along.
