How to ensure your steering committee meeting runs smoothly
Will you be running a steering committee meeting soon and want to ensure it goes smoothly?
Here are some dos and don’ts that will ensure your steering committee meeting is effective and productive.
-
Don’t wing it
Your steering committee is made up of really important people! The fact that they are there for your project shows that you’ve done a great job setting up your project, but it also shows how important your project really is. So, you don’t want to wing it.
Ensure that whatever you have on the agenda can get done in the allocated time, because the worst thing in a meeting is not having time to finish important items.
Make sure you also have a PowerPoint to help with the flow. Having the visual aspect of a PowerPoint is really helpful to keep everyone on track!
-
Do pre-read!
You need to give out a pre-read and make sure you’re giving your steering committee enough time to actually go through it.
Send out your pre-read at least a couple of days in advance, and ensure they have all the information they need, especially if you’ll be asking them at the meeting to remove a roadblock or give approval on something.
Take a show of hands at the meeting to see how many people actually did the pre-read as well. This will give you a good understanding of who is prepared and what information you may need to go over with them.
This will ensure that your meeting runs smoothly.
