Wondering how your business meetings can be more successful? The responsibility of having successful meetings is on both the facilitator and the participants. Whether you run meetings, participate, or both, there are certain success tips that you need to follow every time in order to make the meeting a success.
Establish purpose, goal and agenda
You may think this is obvious, but how much time do you truly spend thinking about purpose, goal, and agenda before every meeting?
Intentionally outlining the purpose of the meeting will increase productivity by telling you exactly WHY you are having the meeting so you know where to put your focus. People need to understand why the meeting is happening.
If you’re a facilitator, clearly lay out the purpose of the meeting. If you’re a participant, ensure you understand the purpose of the meeting ahead of time.
You should also know your goal. By the end of the meeting, what are you hoping to achieve? What does success look like?
And finally, the meeting agenda. If you’re a facilitator, you need to:
- Give other facilitators preparatory time
- Put associated timings on your agenda items so that you know if the meeting length is realistic
- Send out the agenda 24-48 hours in advance to allow your participants the opportunity to review prior to the meeting
And if you’re a participant, ensure you review the purpose, goals and agenda before the meeting!
Concentrate on the meeting
Multi-tasking is not the way to go if you want a productive meeting!
As a participant, it’s important to turn off your phone, concentrate, and be fully present in the meeting. This will greatly influence how effective your meeting is.
